Plans and billing
Wyroo is billed per company, not per person. One subscription covers your whole workspace, and the price depends on how many people are actually working in it. This page explains the free tier, the trial, how seats are counted, where your invoices live, and what happens if a payment stops going through.
Note: Billing is managed by admins. You only see the billing screen if you have the rights to manage your team. Everyone else can keep working without ever touching it.
How pricing works
Section titled “How pricing works”The plan is a per-seat plan, billed monthly, with prices shown excluding VAT. A seat is one active member of your own company. “Active” has a specific meaning here, and it is in your favour:
- A member counts as a seat only if they have signed in within the last 28 days.
- A member who has not signed in for longer than that is paused. They are still on your team and lose nothing, but they are not billed until they sign in again.
- People you invite from outside your company (clients, partners, contractors on a single job) are guests. Guests are never charged. You only pay for your own active staff.
So if half your team is off-site for a month and not logging in, your bill shrinks to match. When they come back and sign in, their seat is added again right away.
You are only ever billed for the time a seat is active. Add someone in the middle of a month and you pay only for the days that are left; when a seat drops away, the unused time is credited back automatically. There is nothing to work out by hand.
The free tier
Section titled “The free tier”A brand new company starts on the free plan, shown as Free on the billing screen. You can sign up, set up your workspace, and look around without entering any card. The free tier has caps on how many company members and project guests you can invite, which is enough to try Wyroo properly before you commit.
The free trial
Section titled “The free trial”The moment your company does real work, Wyroo starts a 60-day free trial automatically. You do not enter a card to begin it. The trial starts when:
- You create your first project, or
- Someone from your company joins a second project that belongs to another company.
During the trial you have the full product with no limits on members. About a week before it ends, Wyroo emails the people who manage billing to remind them to add a payment method. The trial is one time per company. If it runs out without a card on file, your subscription does not start, and the workspace switches to read-only (see below). You can still subscribe at any point to carry on.
How to add a payment method or subscribe
Section titled “How to add a payment method or subscribe”- Open your settings and go to Billing.
- Read the Subscription panel. It shows your current state, how many active members you have, and any paused members.
- Select the main action button. Its label matches your situation: Add a payment method during a trial, Update payment method if a payment is due, or Reactivate subscription if your plan has lapsed.
- You are taken to a secure checkout page hosted by our payment provider, Stripe. Enter your card there. This is where you can also enter a promotion code if you have one.
- After you finish, you are returned to Wyroo. It can take a moment for the screen to catch up.
Invoices and billing details
Section titled “Invoices and billing details”- On the Billing screen, fill in your billing details: company name, email, VAT number and address. These appear on your invoices and are used to work out tax, so it is worth getting the country right.
- Add your VAT / BTW number if you have one. For EU reverse-charge it can change how tax is applied. Leave it blank if it does not apply to you.
- To see past invoices, download receipts or change your card, select Manage billing. This opens the secure billing portal where your full payment history lives.
When a payment fails
Section titled “When a payment fails”If a monthly payment does not go through, your plan moves to Payment due. Nothing locks up: you and your team can keep working normally while the payment is retried automatically over the following days. Open Billing and choose Update payment method to fix the card before the retries run out.
Read-only mode
Section titled “Read-only mode”If a trial ends without a card, or payment retries are exhausted, the workspace becomes Inactive, also called read-only. This is the only state that stops editing.
- Your data is completely safe. Nothing is deleted.
- Everyone can still sign in, open projects, read cards, view files and download what they need.
- No one can create or change things until the subscription is active again.
To lift read-only mode, open Billing and choose Reactivate subscription. As soon as the payment goes through, full editing returns.
Tip: A guest from a read-only company can still edit inside an active company’s project. Read-only only blocks writes to the projects your own company owns.
