Your company team
Your company is the workspace that holds all your projects. The people in it are your company team: the colleagues who sign in with you and work across your projects every day. This page explains how to bring them in, what each role can do, how to change someone’s role, and how to remove someone.
This is different from inviting a client or an outside partner to a single project. Those people are project collaborators, and they only ever see the one project you invite them to. For that, see Your team and collaborators. This page is about your own staff.
Note: Managing the company team is an admin job. You only see the team settings screen if your role lets you manage the team. Everyone else can keep working without it.
Where to find it
Section titled “Where to find it”Open your settings and go to Team. You see three things there:
- Members: everyone in your company, each with a role you can change.
- Pending invitations: people you have invited who have not joined yet.
- Invite member: the button to bring someone new in.
If your subscription has lapsed, a red banner appears at the top and the invite button is switched off. You can still tidy the team (change roles, remove people) while you sort out billing. See Plans and billing.
The three roles
Section titled “The three roles”Every company member has one role. The role decides what that person is allowed to do across all your projects. Wyroo ships with three roles.
| Role | In plain terms |
|---|---|
| Owner / Admin | Full access. Runs the company. |
| Editor | The everyday working role. Can create and change project work. |
| Viewer | Read-only. Can look but not change. |
Here is what each one can do.
-
Owner / Admin. This is the person who set up the company, plus anyone they raise to the same level. An admin can do everything: create, edit and delete projects, manage products and spaces, post and remove comments, export specsheets, invite people to projects, and manage the company team and billing. If you need someone who can run the workspace when you are away, make them an admin.
-
Editor. The role most of your staff will have. An editor can create, edit and view projects, add and edit products, manage spaces, take part in the conversation (read, post, remove and like comments), export specsheets, and invite collaborators to a project. An editor cannot manage the company team, change billing, or delete a project. This is the right role for a designer, a project lead, or anyone doing the actual work.
-
Viewer. A look-but-do-not-touch role. A viewer can open and read projects and products, read and like comments, and export specsheets. A viewer cannot create or change anything. Use this for someone who needs to keep an eye on the work without being able to edit it.
How roles relate to permissions
Section titled “How roles relate to permissions”A role is really just a named bundle of small permissions. Each permission is one specific thing a person may do, for example “create a project”, “add a comment”, or “export a specsheet”. Wyroo checks the permission, not the job title, every time someone tries to do something.
You do not toggle these one by one in everyday use. You pick a role, and the role carries the right set of permissions with it. The table below shows the broad picture.
| What they can do | Owner / Admin | Editor | Viewer |
|---|---|---|---|
| View projects, products and comments | Yes | Yes | Yes |
| Export specsheets | Yes | Yes | Yes |
| Create and edit projects | Yes | Yes | No |
| Manage products, spaces and comments | Yes | Yes | No |
| Invite collaborators to a project | Yes | Yes | No |
| Manage the company team | Yes | No | No |
| Delete a project, manage billing | Yes | No | No |
One thing worth knowing: when your subscription is in read-only mode, the write permissions (creating, editing, deleting) are paused for everyone, while reading, exporting and team management stay open so you can recover the subscription. This is a billing state, not a role change. See Plans and billing.
How to invite a company member
Section titled “How to invite a company member”- Go to Settings and then Team.
- Select Invite member.
- Enter the person’s email address.
- Choose their role: Owner / Admin, Editor or Viewer. If you are not sure, Editor is the usual choice.
- Select Send invitation.
The person gets an email with a link to join your company. If they do not have a Wyroo account yet, the link lets them create one, and they land straight in your workspace.
Note: You can only invite people once your own email address is verified. This stops fake accounts from sending invitations on the platform’s behalf. If invites are blocked, check your inbox for the verification email first.
Pending invitations
Section titled “Pending invitations”An invitation stays pending until the person accepts it. You can see all pending invitations on the Team page, with who sent each one and when it expires. For each pending invitation you can:
- Copy the link to share it another way, for example over chat, using the link button.
- Resend the invitation email if it got lost.
- Revoke the invitation if you no longer want that person to join. Revoking stops the link from working.
Changing someone’s role
Section titled “Changing someone’s role”- On the Team page, find the person in the Members list.
- Open the role dropdown next to their name.
- Pick the new role.
The change takes effect right away, and the person’s access updates the next time they act. You cannot change your own role from this screen. That guard stops you from accidentally locking yourself out of the company you run. If you need your own role changed, ask another admin.
Removing a member
Section titled “Removing a member”- On the Team page, find the person in the Members list.
- Select the remove button (the person icon) next to their name.
- Confirm in the dialog that appears.
Removing a member takes them out of the whole company, so they lose access to every project at once. That is why this is different from removing a project collaborator, which only affects one project. You cannot remove yourself here.
Tip: If someone is only leaving one project, do not remove them from the company. Manage that on the project’s own team page instead. See Your team and collaborators.
How billing fits in
Section titled “How billing fits in”Your company is billed per active member, not per person on the list. Inviting people does not bill you for anyone who is not signing in, and removing someone who has gone quiet will not change a bill they were not adding to. The full picture, including the free tier and how seats are counted, is in Plans and billing.
