Exporting the board to PDF
Not everyone on a job site wants to open an app. Sometimes you need the work on paper: pinned to the site cabin wall, handed to a subcontractor, or attached to an email for the client. Wyroo can turn your board into a tidy PDF (a printable document) so the plan travels with you, even where there is no signal.
The board is your shared list of work, laid out in columns. A card is a single task on that board. If those terms are new, start with The board (Kanban) and Working with cards.
What you can do here
Section titled “What you can do here”The export builds a one-off PDF from your board. You decide what goes in it:
- Columns: pick which columns to include (for example, leave out a “Completed” column you do not need on paper).
- Grouping: group the cards by column or by role, so the document is sorted the way that suits the reader.
- Filters: narrow it down to one card type, one role, or one person, so people only see what is relevant to them.
- Completed cards: include finished cards, or leave them out for a clean “what is left” snapshot.
- QR codes: add a small square barcode to each card that, when scanned with a phone, opens that card online.
The PDF is lightly branded with your project name and code, the date and time it was made, and a page number on every page. Each card shows its number and title, plus whatever it has: who it is assigned to, its roles, its labels, its due date, and its subtask progress (for example “3/5”). Below that it prints the card’s description, and lists each subtask one by one, ticked off or not, with the person it is assigned to.
How to export the board
Section titled “How to export the board”- Open the board for your project.
- Select Export PDF.
- In the window that opens, tick the Columns you want. By default every active column is selected.
- Under Group by, choose Column or Role.
- Use the Type, Role and Assignee filters if you want to narrow the list. Leave them on Any to include everything.
- Turn Include completed cards on if you want finished work in the document.
- Turn QR code on every card on or off. It is on by default.
- Select Download. Your browser saves the PDF, named after your project.
Tip: The choices in the window are independent of the board filters you may have set on screen. Set them here exactly as you want the PDF to read.
Using QR codes on site
Section titled “Using QR codes on site”A QR code is a small square barcode you scan with your phone camera. Two kinds appear in the export:
- The board QR at the top of the first page opens the board online, with the same filters you exported. Scan it to jump from paper back to the live board.
- The per-card QR opens that single card. Hand a printed sheet to a subcontractor, let them scan the card they are working on, and they land straight on it (no searching).
Both links are protected by login. If someone who is not signed in scans a code, they see the login wall and nothing else, so a printout left on a desk does not leak your project.
Practical tips
Section titled “Practical tips”- Make a focused handout by filtering to one role or one person, so a trade only gets their own tasks.
- Group by role when the reader cares about who does what; group by column when they care about the stage of work.
- Leave completed cards out for a quick “still to do” sheet, or include them when you need a full record.
- Re-export any time. The PDF is a snapshot of the moment you make it, so generate a fresh one whenever the board moves on.
- Empty columns are skipped automatically, so the document stays compact.
