Your team and collaborators
A building or interior project is teamwork. Wyroo brings everyone into the same workspace: the people in your own company and the outside partners and clients you invite to help. This chapter explains who can see and change a project, and how to bring people in or take them out.
Two kinds of people on a project
Section titled “Two kinds of people on a project”There are two ways someone can be part of a project.
- Company members. These are the people inside your own company who use Wyroo with you. They sign in, and they can reach the company’s projects. What they are allowed to do depends on their company role (set by an administrator). A project can also be limited to a chosen few, in which case only those people are on it (see Project settings).
- External collaborators. These are people from outside your company: a client, an architect, a contractor, a supplier. You invite them to one specific project. They only see that project, nothing else in your company. On the team page they get an “External” tag so you can tell them apart at a glance.
Together, company members and external collaborators make up the project team you see on the project’s team page. That page lists the people who can actually open this project, so on a limited project you will not see colleagues who were left off it.
Editor or viewer: what each can do
Section titled “Editor or viewer: what each can do”When you invite an external collaborator, you choose one of two roles. The role decides what they can do on that project.

In plain terms:
- A viewer can open the project and read everything: the board, the cards (the task tickets), the files, and the conversation. A viewer cannot move cards, edit them, or change the project. Viewer is the safe default for a client who only needs to follow along.
- An editor can do all of that and also make changes: create and move cards, edit their details, and add files.
Company members work the same way through their company role. A member with edit rights can change the board; a member without them can still see it but not change it. For more on the board and cards, see the board chapter.
Tip: When in doubt, invite someone as a viewer. You can always raise them to editor later by removing and re-inviting them with the new role.
Giving a team member a project role
Section titled “Giving a team member a project role”Beyond what someone can do (editor or viewer above), you can record what part they play on the project: architect, client, main contractor, and so on. These are the project’s roles, and they are separate from access permissions.
If you are a company administrator, you can assign these roles to anyone on the team without leaving the team page:
- Find the person on the team page.
- Click Manage roles on their card, or Add role if they have none yet.
- Tick the roles they hold on this project, then Save.
Their roles show as coloured chips on their card. Picking a role the project does not use yet adds it automatically, so you do not have to set it up first. To remove a role, open the same panel and untick it.
Only company administrators can change roles; everyone else sees the chips but cannot edit them. To create or rename the roles your company uses, see the roles chapter.
How to invite someone to a project
Section titled “How to invite someone to a project”You need permission to invite collaborators (your administrator controls this).
- Open the project and go to its team page.
- Click Invite collaborator.
- Enter the person’s email address.
- Choose their role: Editor or Viewer.
- Click Send invitation.
The person gets an email with a link to join. If they do not have a Wyroo account yet, the link lets them create one. They only get access to that one project.
Pending invitations
Section titled “Pending invitations”An invitation stays “pending” until the person accepts it. You can see all pending invitations for a project on the team page, including who sent each one and when it expires. For each pending invitation you can:
- Copy the link to share it another way (for example over chat), using the link button.
- Resend the invitation email if it got lost.
- Revoke the invitation if you no longer want that person to join. Revoking stops the link from working.
Access requests
Section titled “Access requests”Sometimes a person reaches a project without an invitation: they follow a card link from a shared or exported document and ask to join. This is an access request.
Access requests appear on the team page for people who can manage collaborators. For each request you can see who is asking and any message they left. Then you can:
- Approve the request and pick a role (viewer or editor). They become a collaborator right away and are notified.
- Deny the request if they should not have access.
Removing people
Section titled “Removing people”- To remove an external collaborator, find them on the team page and use the remove button next to their name. They lose access to the project at once.
- Company members are not removed here. They are managed in your company’s team settings, because removing them affects every project, not just this one.
Tip: Removing a collaborator is instant and reversible. If you remove the wrong person, just invite them again.
